Position Overview

The Illinois Department of Children and Family Services is seeking an organized, professional, and energetic individual to serve as a supervisor. Under administrative direction, this position oversees the activities of a team of professional DCFS licensing staff regarding clearances; develops and maintains logs, tracking systems, and reports related to the processing of Authorization for Background Checks and clearances; monitors and reviews data entry. Additionally, the position provides specialized, technical secretarial and office support functions, utilizing extensive independent knowledge, judgment, and discretion.

Essential Functions

  • Directs and monitors support staff engaged in the performance of complex, specialized clerical functions which require the application of agency policies and procedures.
  • Serves as working supervisor; assigns and reviews work; provides guidance and training to assigned staff.
  • Provides specialized, technical secretarial and office support functions, utilizing extensive independent knowledge, judgment, and discretion.
  • Coordinates the receipt and review of background check authorization forms and results, dissemination to Department and childcare facility staff, and follow-up recommendations to the Department.
  • Develops and maintains logs, tracking systems, and reports related to the processing of Authorization for Background Checks and clearances.
  • Recommends establishment of new operating procedures or revision of existing methods.
  • Performs various critical data entry transactions
  • Performs other duties as required or assigned which are reasonably within the scope of the duties

Minimum Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of two years of study at a secretarial/business college and one year of office experience, or completion of high school and three years of Office Assistant experience, or three years of independent business experience.
  • Requires ability to keyboard accurately at 30 wpm.
